1. Risk Based Audit Officer Job Vacancy at I&M Bank (T) Limited

Job Purpose

To ensure that corporate governance, risk management, internal controls and compliance structures of the bank are in place.

Key Responsibilities/Tasks

Audit execution:

·       Examine and evaluate the adequacy and effectiveness of internal control system

·       Ensure compliance with legal and regulatory requirements and implementation of policies and procedures.

·       Conducting branch cash snap checks

·       Review of quarterly financial statements before publication and provide a report for anomalies noted.

·       Ensuring activities are carried out according to the mandate of the Audit Plan approved by the Audit Committee, which entails:

i.         Timely performance of Audit assignments i.e.  timely in planning, execution and reporting,

ii.         Scheduling and attending planning meetings between the Internal Audit (IA) department and the Heads of the departments /Branch management to be audited and offering general direction to the Managers as they carry out risk assessments.

iii.          Conducting site audit in accordance with pre-designed audit program and Audit plan ensuring adequate coverage of the scope.

iv.         Ensure there is adequate communication and discussion with auditee while executing the audit assignment and confirmation of the findings before documentation.

v.         Ensure adequate root cause and risk of the findings is documented for each observation obtained.

vi.         Adequate and timely maintenance of Audit supporting evidence in the teammate.

vii.         Preparation of draft report/discussion memo for finding observed during audit i.e. risk involved, make recommendations on the system and procedures under review and discuss the results with system owners. And obtain responses from Auditee

viii.         Finalization of reports for review by the Head of Internal Audit. While ensuring that the reports incorporate the bigger picture as well as views of the process owners.

ix.         Attending closure meetings for each assignment performed, so as to incorporate their views in the reports.

x.         Minutes of the audit meetings i.e. entrance and exit adequate maintained in the teammate.

xi.         Follow-up and provide status report of all outstanding audit recommendations i.e. internal, external and examiner Assist external auditors and regulators on audit matters

xii.         Feedback is sought from auditee in respect of the audit conducted on the respective area and evidence uploaded in the teammate.

xiii.         Preparation of board reports form the audits done for presentation.

Investigations:

Assist in special reviews as may be recommended from time to time

Administration and liaison:

·       Maintaining and coordinating the day to day communication within the internal audit department and with other departments.

·       Ensure adequate guidance is given to subordinate staff assigned work under you.

·       Timely performance of assigned Audit assignment’s.

·       Perform other duties as may be assigned

Finance Officer – Management Accounting and Budgetary Control Job Vacancy at I&M Bank (T) Limited

Job Purpose:

To prepare and circulating accurate internal reports to management for decision making and other various stakeholders on a timely basis and in the agreed formats.

Key Responsibilities/Tasks

Management Accounting:

  •  Process corrective entries in the system from various branch and HR staff such as reversal of entries, correction of errors
  •  Ensure accuracy and completeness of the adjusting entries booked in the system
  • Payments Processing: Staff claims (travel assistance, per diem, expense claims), Branch petty cash replenishments: Suppliers/Vendors Payments, Maintain Tiss & TT register
  • Preparation of LPO’s upon request from different departments
  • Responding to branch & HQ queries regarding payments/claims
  • Incorporating the post month end entries and adjustments and ensure expense accruals are correctly captured and reconciled & prepayment amortization is properly done and submitted as per agreed TAT
  • Perform regular nostro reconciliations and submit the report to the owner departments for clearance of outstanding items
  • Perform regular review of finance related suspense accounts (for both suspense debit & suspense credit) and branch suspense accounts and ensure the entries are cleared within 30days period
  • Controlling financial resources and ensuring that all financial transactions, systems and procedures comply with regulations, accounting principles, and standards
  • Financial analysis and reporting, taxation, accounts payable and receivable, inventory and costs control, and budgeting and forecasting
  • Advising management on financial matters and the impact of laws and regulations on the organization
  • Work with finance analysts to develop budgets, understand financial reports, and manage day to day review of general ledgers
  • Review and monitoring of Cost centre budget and ensure monthly reports are shared with cost centre owners and arrange meeting with Business/Cost Centre owners to discuss variances noted in their report and instill cost conscious culture
  • Ensuring all tax returns, payments, and other required reports are submitted accurately and on time
  • Ensure timely processing of payment to suppliers and staff per agreed Turn around Time and ensure records are safely kept to allow auditing of payments.
  • Ensure all queries and complaints are timely attended as per the agreed Turn around Time including attending internal and external auditors
  • Close follow up on receivables accounts (Intercompany) to clear outstanding items on time to avoid provision for loss.
  • Review and process accounting adjustments/reversals in the Core Banking System initiated by the business units
  • General maintenance of the General ledger and ensure successful period end closure of the GL
  • Work closely with Managers in monitoring Finance Risk register to ensure the controls are effective.
  • Work closely with Managers to ensure compliance with Finance processes/ procedures / policies.
  • Fully be available for any other duties related to finance and control as may be assigned from time to time by bank’s management.
  • Ensure Fixed Assets register and IFRS 16 model register are updated timely for any additions, disposal, deletion, adjustments/modifications, depreciation and asset code.  Ensure physical verification of Banks assets is done once per year

Budgetary Control:

Assisting in the preparation of annual budgets which includes:

a)   Collating information from Branches and departments for inclusion in the budget; and

b)   Analyzing the historical expenses data for incremental budgeting.

Reconciliation:

·       Review and approve NOSTRO reconciliation on a day-to-day basis

·       Preparation of LPO’S upon request from different departments

·       Ensure all queries and complaints are timely attended as per the agreed Turn around Time including attending internal and external auditors

·       Review and process accounting adjustments/reversals in the Core Banking System initiated by the business units

·       Preparation of LPO’S upon request from different departments

·       Preparation of journal entries of month-end posting including correcting entries, Provisions, monthly amortization of prepayments, accruals and depreciations

Audit Compliance:

·       Respond to queries from internal and external audits in relation to the Finance Department.

Reporting:

·       Review management, financial required by laws, regulations, framework or boards of directors.

Skills, Knowledge and Abilities

·       Knowledge on International Financial Reporting Standards (IFRS)

·       Knowledge on Microsoft applications

  • Ensure all User Access Controls, authentication; exception handling processes are meticulously implemented across the Bank.
  • Ensure reconciliations related to various operation related office accounts in centralized operations are up to date and tallied as required.
  • Managing staff related matters concerning units under centralized operations including resourcing, rotations, leaves, product knowledge and continuous training and development to improve the skill sets of the staff.
  • Coordinating and reviewing RCSA (Risk Control Self-Assessment) for Centralized Operations.,
  • Reviewing of procedure manuals and policies of the respective units under Centralized Operations on a need or annual basis, whichever is shorter, to ensure that they remain relevant in view of changing business environment and regulatory requirements.
  • Ensuring the preparation of supporting procedures, documents, and guidelines before roll-out, with respect to new products/processes.

This includes fraud notification which results in meeting fraud loss adjusters and following up to ensure speedy settlement and providing critical input to the COO, relating to the Centralized Operations functions at the annual strategy session.
  • Inculcate a cost-conscious culture in the Bank and initiate measures for cost rationalization, reduction, and control in all areas of Centralized operations.

    • Provide leadership for the Centralized Operations team through clearly communicating strategy and goals and coaching sessions.
    • Manage employee performance and competence development to ensure operational efficiency.
